Buyers fill out a form, you send a text, and then silence. Fix the gap with a year-long smart plan that feels personal and runs itself. In this walk-through I show how to build a 365-day drip that moves first-time buyers from casual search to closing day without sounding automated.
We start with three inputs—address, timeline, and must-have features—and drop them into a prompt that delivers a complete sequence of texts, emails, and call tasks. Day 1 sends a quick “got your request” text plus a PDF roadmap for buying in your city. Day 3 delivers an email that outlines budget tips, closing costs, and down-payment help. A short call on Day 7 offers to answer questions and sends a pitfalls guide if they say yes.
The plan spaces touches to match buyer intent. Hot prospects receive weekly check-ins about new listings, while six-month planners get a monthly market update and a seasonal cost-of-living snapshot. Every message ends with one clear action step—book a showing, request a lender intro, or ask for a full cost sheet.
The secret is layering value assets. Pair the roadmap with a neighborhood snapshot, add a financing worksheet at Day 30, and cap the cycle with a move-in checklist. Each file is easy to create with your preferred document tool and stays evergreen with minor updates.
Import the finished plan into your CRM, set call and text tasks to be optional, and watch engagement climb. When a buyer replies, pause the automation, tag the lead, and switch to live conversation. Measure open rates, reply counts, and showings booked to fine-tune the timing.

Zillow and Realtor dot com leads can pay off when every click meets a fast, visible response. Start by routing each new phone inquiry through a round-robin dialer so the first available agent, or ISA, answers live. Miss the first call, redial once, leave a short voicemail, then send a text that offers a showing time and a matching property link. Follow with a concise email in case the prospect checks messages at work.
If the lead arrives as email only, drop the address into your iPhone text field; many email addresses accept SMS. Still send a call and a value-first email so the buyer sees quick attention from both sides.
All contacts feed straight into your CRM via API or email parser. An automated search alert delivers similar listings, and the system assigns a tag for timeline: hot, warm, or nurture. Each tag launches a tailored drip of texts, emails, and task reminders that pause the moment a reply comes in.
Daily, an admin checks missed calls, verifies tags, and listens to recorded follow-ups. Agents who skip steps fix notes before they receive new leads. Your CRM then flags key activity—saved homes, new searches, shared links—and prompts a personal text that keeps the conversation moving.
Track three metrics: time to first call, first-day reply rate, and appointment set percentage. Tighten the slowest step and your high-cost portal budget turns into in-person showings instead of lost clicks.

In this video I show how to build three essential PDFs that answer the questions fresh prospects ask and keep your name at the top of their inbox. You can create each document in ChatGPT, Gemini, or any slide tool, then brand and save them as ready-to-send files.
Home-Buying Roadmap A clear timeline for your market, from pre-approval through closing. Include key deadlines, appraisal basics, inspection tips, and a one-page glossary so new buyers understand terms like HOA and escrow. Text or email the roadmap after your first call and record a short video that walks through each step for extra clarity.
Neighborhood or Market Snapshot A single-page graphic that covers current list price range, average days on market, school scores, and local lifestyle highlights. Pull data from your MLS, Altos, or Redfin, add two photos that show the area’s vibe, and update monthly. When a lead requests information on a ZIP code, reply with this snapshot before they find the numbers on their own.
Upfront Costs and Financing Worksheet Side by side examples for three down-payment levels, estimated property tax, closing costs, insurance, and utilities. Finish with a quick note on ongoing ownership costs so buyers can budget beyond the mortgage. Spelling out the math builds trust faster than any script.
Once these PDFs are live, record a short reel for each, post them to your site as free downloads, and link them in follow-up emails. Buyers feel heard, you look prepared, and your pipeline keeps moving.
